1. Who we are

This Privacy Policy explains how FindMyVA Pty Ltd (ABN 52 662 030 382) (“FindMyVA”, “we”, “us”, “our”) handles personal information. Our registered address is 7 Keysborough Close, Keysborough VIC 3173, Australia. You can reach us about privacy at admin@findmyva.com.au.

We are committed to protecting your privacy and handling your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. What this policy covers

This policy applies to the FindMyVA website (findmyva.com.au) and to our services, which connect Australian businesses with virtual assistants (VAs).

3. The personal information we collect

Depending on how you interact with us, we may collect:

  • If you apply to work as a VA: your name, email address, phone number, location and country, employment and work history, skills, and any resume or document you upload.
  • If you are a business enquiring or booking a call: your name, email address, phone number, business details, and information about your hiring needs.
  • If you subscribe to our newsletter or job alerts: your email address.
  • If you book a Discovery Call: the details you provide when booking, plus the date and time.
  • Automatically, when you visit the site: your IP address, browser and device type, basic usage information, and, through the cookies and tracking technologies described in section 8, identifiers used for analytics and advertising (such as an advertising click identifier if you arrived from a Google, Meta, or LinkedIn ad).

We do not deliberately collect sensitive information (such as health, racial or religious information). Please do not include sensitive information in free-text fields or uploaded documents unless it is necessary.

4. How we collect it

We collect personal information directly from you when you complete a form, upload a document, book a call, subscribe, or contact us. We may also collect it automatically through cookies and similar tracking technologies used on the site, described in section 8.

5. Why we collect and use it

  • To assess VA applications and match candidates with businesses.
  • To respond to enquiries, run Discovery Calls, and provide our services.
  • To send job alerts, our newsletter, and service updates you have asked for.
  • To operate, secure, and improve the website and our services.
  • To meet our legal and record-keeping obligations.

6. When we disclose it, and to whom

We do not sell your personal information. We disclose it only as needed to provide our services:

  • Between businesses and VAs that we match, so a placement can proceed.
  • To service providers who process data on our behalf, under confidentiality obligations: GoHighLevel (our CRM, forms, email and booking system), Clerk (secure sign-in), and Amazon Web Services (secure hosting and file storage).
  • To analytics and advertising platforms we use to understand and improve the site and measure our marketing: Google (Analytics and Ads), Meta, LinkedIn, and Microsoft. Section 8 describes what each collects, including a limited, server-to-server sharing of advertising click identifiers used to measure whether our own ads led to a genuine business enquiry. We do not share VA application activity with these platforms.
  • Where required or permitted by law, for example to a regulator or in response to a lawful request.

7. Overseas disclosure

Our VA community is largely based in the Philippines, and where we match a business with a VA, some of your information may be shared with, or accessible to, that person overseas. Some of our service providers may also store data outside Australia, including our analytics and advertising providers (Google, Meta, LinkedIn, and Microsoft), which are based overseas and process information as part of their standard international services. Where this happens, we take reasonable steps to ensure your information is handled consistently with the APPs.

8. Cookies and tracking technologies

We use cookies and similar tracking technologies to run the site and to understand how it is used. These fall into two groups.

  • Essential cookies are necessary for the website and secure sign-in to function.
  • Analytics and advertising technologies help us understand how people find and use our site, and measure the effectiveness of our marketing. We use:
    • Google Analytics (GA4) and Google Ads, for site analytics and to measure the performance of our Google advertising.
    • Meta Pixel, to measure the performance of our Facebook and Instagram advertising.
    • LinkedIn Insight Tag, to measure the performance of our LinkedIn advertising.
    • Microsoft Clarity, which records anonymised, replayable recordings of how visitors interact with our pages (for example, mouse movement, scrolling, and clicks), to help us understand and improve the site. Because this is a more detailed record of your visit than a standard analytics cookie, we call it out separately here.

Australia does not require a cookie consent banner in the way some other countries do; our obligation is to clearly disclose what we collect and why, which this section does. You can control cookies through your browser settings, opt out of Google Analytics using Google's browser add-on, or manage ad personalisation directly through your Google, Meta, LinkedIn, and Microsoft account settings.

9. How we keep it secure

We take reasonable steps to protect personal information from misuse, loss, and unauthorised access, including secure hosting, access controls, and encryption in transit. No method of transmission or storage is completely secure, but we work to protect your information and to respond promptly to any incident.

10. How long we keep it

We keep personal information only as long as necessary for the purposes above or as required by law. Applicant records are reviewed and either de-identified or deleted after 24 months of inactivity.

11. Accessing and correcting your information

You can ask to see the personal information we hold about you and ask us to correct it. Email admin@findmyva.com.au and we will respond within a reasonable time. We may need to verify your identity first.

12. Marketing and opting out

If you receive our job alerts or newsletter, you can opt out at any time using the unsubscribe link in any email, or by contacting us. We will action opt-out requests promptly.

13. Complaints

If you have a privacy concern or complaint, contact us first at admin@findmyva.com.au and we will work to resolve it. If you are not satisfied, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

14. Changes to this policy

We may update this policy from time to time. The current version is always available on this page, with the “last updated” date shown above.
